HANDS Clinic of St. Lucie County (“HANDS,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through handsofslc.org, how we use it, and the choices you have.

Scope of This Policy

This Privacy Policy covers information collected through our website.

If you are a patient of HANDS and want to know how we protect your medical records and other health information at the clinic, please see our HIPAA Notice of Privacy Practices. The Privacy Policy and the HIPAA Notice cover different things: this policy is about website data; the HIPAA Notice is about your patient records.

Information We Collect

Information you give us directly through our website forms:

  • Eligibility form — name, address, residency information, household size, and household income (used by our staff to determine if you qualify for free care)
  • Donation form— name, address, email, phone, donation amount, and payment information (handled securely by our payment processor — see Section 7)
  • Volunteer form— name, contact information, skills, and availability
  • Contact form— name, email, and your message
  • Newsletter signup — name and email

Information we collect automatically when you visit:

  • Your IP address, browser type, and device information
  • Pages visited, time spent on the site, referring URLs, and how you interact with our forms
  • Information collected through cookies, tracking pixels, and similar technologies (see Section 8)

We do not collect medical information through this website. If your situation requires sharing health details, our staff will follow up directly using the secure systems we use at the clinic.

How We Use Information

We use the information we collect to:

  • Review eligibility requests and follow up with prospective patients
  • Process donations, send receipts, and provide annual tax summaries
  • Coordinate with volunteers
  • Respond to questions and messages
  • Send updates and newsletters to people who have signed up
  • Improve the website and understand how visitors use it
  • Comply with our legal and reporting obligations

How We Protect Information

We take reasonable steps to protect the information you share with us through the website:

  • All form submissions are transmitted over an encrypted connection (HTTPS)
  • Information stored on our website platform is encrypted at rest
  • Access to submitted information is limited to authorized HANDS staff
  • We periodically review our security practices

No system is perfectly secure. While we work hard to protect your information, we cannot guarantee absolute security.

Information Sharing

We do not sell your personal information. We share information only:

  • With your consent — for example, when you ask us to refer you to a partner organization
  • With our donation processor — Bloomerang handles donor records and payments on our behalf so we can process your gift and send receipts
  • With service providers that help us operate the website (e.g., our website host) — only to the extent necessary to provide their service
  • As required by law — such as in response to a valid legal request

Donor Privacy

HANDS values our donors' privacy:

  • We will only acknowledge donors publicly with their explicit consent
  • Donors may request anonymity at any time
  • Tax summaries are mailed annually to the address on file
  • We do not sell, rent, or trade donor lists

Third-Party Services

The following third parties help us operate handsofslc.org:

  • Webflow— website hosting platform
  • Fillout— form platform used to collect eligibility, contact, volunteer, and other submissions
  • Bloomerang— donor management and donation processing platform; stores donor contact and gift history. HANDS does not store credit card numbers on our servers.
  • Citrus Tools— internal operations and CRM tool used by HANDS staff to manage submissions and follow-up
  • Google Analytics — measures aggregate site usage. You can opt out using Google's opt-out browser add-on
  • Google Tag Manager — tag management system used to deploy and manage our analytics and tracking scripts
  • Meta (Facebook) Pixel — tracks visits to our site to help us understand how people find us and measure the effectiveness of any outreach. You can manage Meta tracking through your Facebook ad preferences
  • Lead Connector— script used to track form conversions and follow-up activity

Each of these providers has its own privacy practices, and we encourage you to review their policies.

Cookies & Tracking Technologies

Cookies are small files stored on your device that help websites remember your preferences and measure usage. Tracking pixels and similar technologies (such as the Meta Pixel and Lead Connector script) work alongside cookies to record how visitors interact with our site and forms.

We use these technologies for:

Our website is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child, please contact us at info@handsofslc.org and we will delete it.

Your Rights & Choices

You have the right to:

  • Access the information we have about you
  • Correct information that is inaccurate
  • Delete information we no longer need to keep
  • Opt out of marketing emails (use the unsubscribe link in any newsletter, or contact us)
  • File a complaint if you believe we have mishandled your information

If your personal information is involved in a security breach, we will notify you in accordance with Florida's data breach notification law (Fla. Stat. § 501.171).

How Long We Keep Information

  • Eligibility form submissions — retained for up to 3 years to support follow-up and reporting; deleted thereafter
  • Donor records— retained for 7 years to support tax substantiation, then archived or deleted per IRS guidelines
  • Volunteer applications — retained for the duration of the volunteer relationship and up to 3 years after
  • Newsletter contacts — retained until you unsubscribe
  • Analytics data— retained according to Google Analytics defaults

Changes to This Policy

We may update this Privacy Policy from time to time. The “Effective Date” at the top of this page reflects the most recent revision. We will post any changes here, and significant updates will be communicated through the site.
